Capacity Utilization Rate
The share of defined available capacity used by actual productive work during a stated period.
Business question
How much of the available, usable capacity was consumed by productive work?
Formula
Capacity utilization rate = (actual productive output or productive hours ÷ defined available capacity for the period) × 100.
Calculation notes
Choose output units or productive hours and use the same unit in numerator and denominator. Define available capacity after planned non-working time, if relevant.
Edge-case guidance
Do not divide by theoretical maximum capacity when staffing, equipment, opening hours, or planned maintenance make it unusable. Explain periods with zero available capacity.
Required data
| Input | Type | Status | Available source hints |
|---|---|---|---|
| Actual productive capacity usedProductive output or hours delivered in the chosen capacity unit. | Number | Required | Project management system · Excel · Manual records |
| Available usable capacityCapacity available after the agreed staffing, schedule, maintenance, and other constraints. | Number | Required | Project management system · Excel · Manual records |
Interpretation
Use the measure to understand capacity pressure and slack while distinguishing usable planned capacity from a theoretical maximum.
Caution
High utilization can signal overload and reduce resilience or quality; low utilization may be deliberate while demand, staffing, or capability is being developed.
Implementation recommendation
Agree on the capacity unit and usable-capacity rule with operations, then review utilization with cycle time, quality, and demand.
Target guidance
Set the first target from a comparable historical baseline for capacity utilization rate, then adjust it for strategy, capacity, seasonality, data quality, and relevant market or regulatory context. Review the direction with the accountable business owner rather than treating any external benchmark as universal.
